Cultural differences affect how someone understands requests, eye contact, or distance. Therefore, we ask you to avoid stereotypes, speak simply, and confirm understanding.
In the case of people who are hard of hearing or have memory problems, speak clearly but do not shout. Adjust your speaking pace and use visual cues (a note, a pictogram). Repeat the most important information, ask short questions, and paraphrase. Avoid idioms, because they may be unclear.

W piątek o 15:30 mam spotkanie z córką pani Krystyny (z Kanady). Ona mówi po polsku, ale czasem używa innych zwrotów i szybko przechodzi do konkretów. Pani Krystyna jest niedosłysząca i ostatnio ma też problemy z pamięcią.
Masz jakieś sprawdzone sposoby, jak poprowadzić rozmowę, żeby uniknąć nieporozumień? Myślałam, żeby mówić wolniej i robić krótkie notatki, ale nie wiem, czy to wystarczy.

Hello Ania,
On Friday at 3:30 pm I have a meeting with Mrs Krystyna’s daughter (from Canada). She speaks Polish, but sometimes uses different expressions and quickly gets straight to the point. Mrs Krystyna is hard of hearing and recently she also has memory problems.
Do you have any proven ways to conduct the conversation to avoid misunderstandings? I was thinking of speaking more slowly and taking short notes, but I don’t know if that will be enough.

Myślę, że Twoje pomysły są dobre. Ja dodałabym jeszcze kilka rzeczy: mów wyraźnie i raczej krótkimi zdaniami, unikaj idiomów. Po ważnych informacjach warto je krótko powtórzyć i poprosić o potwierdzenie zrozumienia (np. „Czy dobrze Pani zrozumiała, że…?”).
Dla pani Krystyny pomocne będą wizualne wskazówki: kartka z planem spotkania, proste punkty i terminy. Jeśli córka mówi szybko, spokojnie poproś, żeby zwolniła tempo. Możesz też przygotować uproszczone instrukcje i zapisać najważniejsze informacje dużą czcionką.
Daj znać, jeśli chcesz, żebym przejrzała notatkę przed spotkaniem.

I think your ideas are good. I would add a few more things: speak clearly and rather in short sentences, avoid idioms. After important information, it’s worth briefly repeating it and asking for confirmation of understanding (e.g., “Did you understand correctly that…?”).
Visual cues will be helpful for Mrs Krystyna: a sheet of paper with the meeting plan, simple bullet points and dates. If the daughter speaks quickly, calmly ask her to slow down. You can also prepare simplified instructions and write the most important information in a large font.
