On the intranet of Waterzicht Care Center there is a new message for all nurses. In the past month there were two misunderstandings with clients. One client did not want direct eye contact, but that was experienced by colleagues as distant or impolite. With another client, an informal caregiver often joined in the conversation, causing the resident to ask fewer questions.

The team asks to work in a culturally sensitive way: always check what someone is comfortable with, pay attention to non-verbal signals and calmly explain what you are going to do. For hard-of-hearing or forgetful residents: speak more slowly, repeat the most important points and summarize briefly. Report it to your supervisor if a conversation still gets stuck.

(Which two situations in the message could lead to misunderstandings and what concrete actions does the team propose to prevent those misunderstandings?)

(Good morning Mr. De Vries, I’m Sanne, the nurse; I’m going to briefly go over what we’re doing today. I’ll speak a bit more slowly—does that feel comfortable for you?)

Bewoner (meneer De Vries): Show Ja, graag.

(Yes, please. I’m hard of hearing, especially in my right ear, and I sometimes lose track.)

Verpleegkundige (Sanne): Show Dank u.

(Thank you. Then I’ll sit to your left and I’ll repeat important information; we start at ten o’clock with the hearing test and at half past eleven the doctor will come, is that okay?)

(Wait—I thought the doctor was coming at ten o’clock. I sometimes mix up the times because of my memory problem.)

Verpleegkundige (Sanne): Show Ik begrijp het.

(I understand. That’s a misunderstanding. I’ll summarize it briefly: ten o’clock hearing test, half past eleven appointment with the doctor. I’ll also write it down on a small card for you; if anything is unclear, please say so right away, and then I’ll explain it again.)

Onderwerp: Familiegesprek vanmiddag – dhr. Yılmaz (kamer 2.14)

Hoi Samira,

Laat even weten wat jij handig vindt.

Groet,

Marieke de Vries
Teamleider afdeling Somatiek

Subject: Family meeting this afternoon – Mr. Yılmaz (room 2.14)

Hi Samira,

This afternoon at 15:30 we have a short meeting with Mr. Yılmaz’s daughter. The family indicates that he sometimes understands things differently and becomes irritated quickly. Mr. Yılmaz is hard of hearing and has had some memory loss lately. Can you be there?

I’d also like your advice: how can we prevent misunderstandings? There may be a cultural difference in how the family views care. Let me know what you think would be helpful.

Kind regards,

Marieke de Vries
Team leader, Somatic Care department

Useful phrases:

(I can join at 15:30 and I suggest that we...)

  2. Om misverstanden te voorkomen kunnen we...

    (To prevent misunderstandings we can...)

  3. Kun je bevestigen of...?

    (Can you confirm whether...?)

Hoi Marieke,

Groet,
Samira

Hi Marieke,

Yes, I can join the family meeting with Mr. Yılmaz at 15:30.

To prevent misunderstandings, I suggest that we speak calmly and a bit more slowly, use short sentences, and repeat important points. At the end, I can briefly summarize what we have agreed on and check whether everyone understands it that way. With Mr. Yılmaz, I will also pay attention to non-verbal signals (e.g., whether he can follow along visually) and I will show respect and empathy if he becomes irritated.

Can you confirm whether he is wearing his hearing aid today and whether the daughter prefers to speak Dutch or Turkish? That way I can adapt better.

Kind regards,
Samira
