Internal memo - As we approach the start of the new season, we would like to remind everyone of a few social norms for shared spaces (reception, open space, kitchen). We greet colleagues and visitors, we respect the hierarchy during meetings, and we avoid interrupting someone who is presenting. If a sensitive topic comes up, we point it out calmly and suggest discussing it privately. In the elevator or on the phone, we make sure to keep our volume low: respect also comes through how others perceive us.

In addition, the company is relaunching an awareness campaign about civility in the public space around the site (parking, cleanliness, queues). The aim is not to punish, but to remind everyone that solidarity begins with simple gestures: apologizing if you inconvenience someone, letting a person in a hurry go ahead, and reserving seats only for those who need them, unless otherwise indicated. In this way, everyone helps strengthen the feeling of belonging to the neighborhood.

(What behaviors does the memo recommend in a professional context and in public spaces, and why are these behaviors important? Give a concrete example from your experience.)

(Thomas, I’m going to cut you off for two seconds: when you interrupt like that, it’s a bit inappropriate, especially in front of everyone.)

(Ah damn, sorry, I didn’t mean to be disrespectful, I thought I was saving time.)

(I understand, but here we have a social norm: we let the person finish, then we speak; otherwise everyone’s eyes turn to you and it makes everyone uncomfortable.)

(OK, I apologize, I’ll respect the order, and if needed I’ll write down my questions for the end.)

(Thank you, and if you want we can talk about it again afterward: hierarchy and respect matter here, the goal being that the conversation stays smooth for the team.)

Open questions:

RH

Subject: Quick follow-up after Tuesday’s meeting

Hello Camille,

Several colleagues have reported to me that, during Tuesday’s meeting, you interrupted Nadia several times and that your tone was perceived as inappropriate. I know the topic (on-call duty allocation) is sensitive, but we must maintain a framework of respect, especially in front of the newcomers.

Could you reply before Friday: how you experienced the situation, and what you propose to prevent it from happening again?

Best,
Marion Lefèvre
HR

Useful phrases:

(First of all, I would like to apologize if my input was perceived as inappropriate.)

(It’s not that I wanted to challenge Nadia, but I expressed myself poorly on a sensitive topic.)

(Going forward, I suggest that we only speak one at a time, unless it’s urgent.)

Bonjour Marion,

Bien cordialement,
Camille

Hello Marion,

Thank you for your message. First of all, I would like to apologize if my input was perceived as inappropriate. At the time, I was under pressure because the on-call duty allocation directly affects work–life balance, and I acknowledge that I interrupted Nadia instead of waiting my turn.

It’s not that I’m questioning her work, but I didn’t manage to express my disagreement calmly. To prevent this from happening again, I suggest we establish a rule in meetings: speaking one at a time, and interrupting only in case of an urgent clarification. I’m willing to apologize to Nadia and to discuss it with her to preserve the team’s solidarity.

Kind regards,
Camille
