In professional German, you often make requests and wishes less direct by using Konjunktiv II.
It sounds like: “in an ideal situation / if possible”, not like a command.
Main forms in this unit: würde, hätte, könnte, wäre.

Quick decision guide: which form should I choose?

Form 1: würde + infinitive (wish / polite plan)

Structure: Subject + würde + (gerne) + … + infinitive (at the end)
Use it when you talk about an action you want to do.

Pay attention: After würde, the second verb is in the infinitive and goes to the end.

Form 2: hätte (gerne) + object (request for a thing)

Structure: Subject + hätte + (gerne) + object
Use it for: an appointment, a confirmation, information, a consultation, a document, etc.

Pay attention: hätte gerne sounds natural for requests. It is often better than a direct imperative.

Form 3: könnte … ? (polite question)

Structure: Könnte + subject + object + infinitive (at the end)?
Good for: asking for details, asking someone to do something, asking permission.

Pay attention: In questions, könnte comes first, and the main verb stays in the infinitive at the end.

Form 4: Es wäre gut, wenn … (soft recommendation)

Use it to suggest an action without sounding pushy.
Very common in phone calls, emails, and workplace coordination.

Pay attention: After wenn, the verb goes to the end: „wenn Sie heute noch zurückrufen“.

Gerne: where it fits (and where it doesn’t)

gerne strengthens a wish/request: “gladly / would like to”.
Typical positions:
- Ich würde gerne kurz mit Herrn Becker sprechen.
- Ich hätte gerne eine Bestätigung.
Less natural in this context: ~~Ich könnte gerne …~~ (use könnte for the question; add “bitte” instead).

Self-check: 5-second quality control

Am I asking for an action? → use würde + infinitive.
Am I asking for a thing/service? → use hätte (gerne) + object.
Am I asking a polite question? → start with Könnte …? + infinitive at the end.
Am I giving a soft recommendation? → Es wäre gut, wenn … (verb at the end).
Did I keep the second verb in the infinitive and put it at the end?

Wäre: Ich wäre, du wärest, er wäre, wir wären, ihr wäret, sie wären.
Würde: Ich würde, du würdest, sie würde, wir würden, ihr würdet, sie würden.

Exceptions!

For unreal situations: use wäre/ hätte instead of the indicative.
With ich/er: the form is often like in the simple past, e.g. wäre.
gerne is used with hätte/ würde to strengthen a request or a wish: Ich hätte gerne ein Eis, Ich würde gerne das Konzert besuchen.
